Terms of Participation
Reservation
The filling of the rooms will be on a first come/first served basis, so guests are strongly encouraged to book as soon as possible in order to have the possibility of reserving the most desirable room.
If you are sharing a room with a specific roommate, please help us expedite the booking process by encouraging them to also make their payment on the same day as you, this allows us to confirm the room.
You will receive an email confirmation as soon as you make the payment and our retreat coordinator will contact you within 72 hours to help coordinate specific requirements you may have, giving you details about the room type you choose and asking for your flight information.
As the retreat date approaches, you will receive an additional email requesting flight information so that we can arrange your transportation to our retreat facility.
All participants must be at least 18 years old by the date of retreat. We do make exceptions for families traveling younger teens. Please reach out to us so we can discuss specific retreat and rooming expectations for younger teens.
If you choose a double-occupancy rate, but don't find a roommate, Cowface Yoga Retreats will attempt to pair you with someone.
Rates and rooms are guaranteed ONLY after your deposit is received.
If multiple discounts are offered, only one may be applied at the time of registration. Multiple offers may not be combined.
If it is necessary to pay in installments, please email our wonderful retreat coordinator at info@cowface.yoga and she will help arrange a personal payment plan for you. Please be advised that arranging a personalized installment plan will add time to the reservation process. This longer time frame may affect the rooms that are available, since the most desirable rooms are offered on a first come, first served basis.
Cancellation Policy:
In the event Cowface Yoga Retreats has agreed to, and you are correctly entitled to, any form of refund or compensation related to these charges, arrangements will be made directly through Cowface Yoga Retreats without dispute or chargeback to this transaction.
Cancellations made before 120 days out from retreat start date will be fully refunded, minus $250 transaction processing fee.
Cancellations made within 119 days or less from retreat start date are 100% non refundable. In case of an emergency, we will do our best to apply your payment towards a future retreat with Cowface Yoga Retreats. If we do fill the room you vacate, we will refund your money, minus $250 transaction processing fee.
In case of cancellation due to any of the following causes, to the extent beyond its reasonable control: acts of God, accident, riots, war, terrorist act, epidemic, pandemic, quarantine, civil commotion, breakdown of communication facilities, natural catastrophes, governmental acts or omissions, changes in laws or regulations, national strikes, fire, explosion, generalized lack of availability of raw materials or energy, you may choose to (a) receive a full refund, minus the $250 transaction fee, or (b) have your payment applied towards a future Cowface Yoga Retreats trip, to be scheduled within one year of cancelled retreat.
Safety
Facility
Our facilities are Smoke-Free. Please be considerate and do not smoke indoors.
Property Access
For Safety, security and liability purposes, all Chefs, Taxi/Van drivers, Bartenders, Masseuses, Concierges and Tour Guides, must be employed by or contracted through Cowface Yoga Retreats in order to be allowed access/entry to your accommodations/our properties. Outside, or Third-party providers of these services are not allowed entry into any Cowface Yoga Retreats property at any time.
Additional guests/visitors, and or entertainers may enter the property at your discretion. Please note that any guest that is NOT part of the retreat will be required to complete a sign-in sheet that includes their local address, passport number, phone number, and also will be required to produce a copy of their passport. Additionally, you are fully responsible for any and all of their actions, and adherence to all of the properties rules and conditions during the entire time they are on the property. No overnight guests are allowed that are not part of the retreat. Cowface Yoga Retreats and it's staff reserve the right to deny access or entry to any individual(s), at their discretion and at any time. Failure to comply can result in immediate eviction with no refund of any monies paid, or deposit.
In Agreement
By electronically checking the waiver box, and submitting my retreat payment, I hereby acknowledge and accept all the terms and conditions within this waiver.
I hereby agree to be responsible for my own welfare and accept any and all risks of delay, unanticipated events, inconvenience, illness, injury, emotional trauma or death. I hereby release and discharge Cowface Yoga Retreats from and against any and all liability from my participation in the retreat trip. I agree that this release shall be legally binding upon me personally and all members of my family.
I authorize Cowface Yoga Retreats to charge my credit card and to secure my reservation, and I understand that $250 (transaction processing fee) of the payment is non-refundable.

By voluntary participating as a student of COWFACE YOGA, 501 Church Street NE #108, Vienna Virginia, 20180,
whether in studio or online, I represent and hereby agree as follows:
I am or will be participating in the Yoga Classes, offered by COWFACE YOGA in studio AND online, during which I will receive information and instruction about yoga and health. These classes may entail intensive physical activity and exertion by me. I recognize that such physical activity and exertion may be difficult and strenuous and may cause or aggravate a physical injury or medical condition. I am fully aware of and accept the risks and hazards involved.
I understand that it is my responsibility to consult with a physician prior to and regarding my participation in the Yoga Classes and to receive prior approval to participate. I represent and warrant that I am physically fit and I have no medical condition or injury that would prevent my full participation in the Yoga Classes offered in studio and online.
In consideration of being able to participate in Yoga Classes whether online or in studio, I agree to assume all full responsibility for any risks, conditions, injuries or damages, known or unknown, which I might incur or aggravate as a result of my participating. I understand that during in studio classes, there may be physical assisting and/or adjustments by the teacher from time to time and that it is my responsibility to let the teacher know if I do not want to be touched/adjusted.
In further consideration of being permitted to participate in the Yoga Classes, whether online or in studio, I knowingly, voluntarily and expressly waive any claim I may have or acquire against COWFACE YOGA, or the landlord or any premises at which it may operate, for any injury, condition or damages that I may sustain as a result of entering or being on the premises or participating in the Programs.
I, my heirs or legal representatives forever release, waive, discharge and covenant not to sue COWFACE YOGA, or the landlord of any premises at which it may operate for any injury, condition, or death which arise, is caused by or is aggravated by reason of my participation in the Programs.
I understand that it is my continuing responsibility to inform the instructor(s) at COWFACE YOGA of any previous medical conditions, injuries or surgeries prior to my first class, whether online or in studio, and at such other times and I acquire information as to same.
All payments made by me for online or in studio drop-in classes, class packages, and membership fees are non-refundable and non-transferable. I also state that I have no claims against COWFACE YOGA, or the landlord of the premises by reason of their refusal to allow me to participate in the Programs.
***Please inform teacher of any previous conditions, ailments, injuries and/or surgeries prior to attending your first class. If you are pregnant or may be pregnant, it is your responsibility to consult your physician prior to participating in classes.***
I have read the above Release and Waiver of Liability and fully understand its contents. I voluntarily agree to the terms and conditions stated above.
